Refusing Politely

There are 2 steps to refusing politely.

Step 1.– Refuse.

Step 2. – Suggest.

1. Refusing .

Examples

  • I’m sorry I can’t help you with that.
  • I’m afraid I’m not allowed to give you those details.
  • I’m sorry but I don’t think I can do that right now.

2. Suggesting .

If you can’t help, suggest who can.

Examples .

  • I’m sorry, I don’t think I’m the right person. May be you can speak with Ravi from marketing.
  • I’m sorry I can’t help you with that; but I guess Ravi will be able to help you with this.

If you can’t provide that information, suggest who can.

Examples .

  • I’m afraid I am not allowed to give you those details. May be you should talk to someone in the sales team.
  • I’m sorry I don’t have that information. But I’m sure Ravi has it. Do you want his contact number?

If you can’t do something right now, but you can do it later, suggest the time when you can help.

Examples.

  • I’m sorry but I don’t think I’ll be able to do this right now, I have to complete some important work. Is it ok if I do it tomorrow?
  • I’m sorry I can’t talk right now, extremely busy today. Can we talk tomorrow?
